Payment & Cancellation Policies

Payment is required at the time of service and will be automatically processed using the card on file. In the event that payment cannot be collected, we will make every effort to reach out to you to address the matter promptly. Should we be unable to establish contact or receive payment, your appointment will be canceled & rescheduled for a later date.

You are responsible for attending each appointment and agree to adhere to the following policy: If you cannot keep the scheduled appointment, you MUST notify the office to cancel or reschedule the appointment in advance of 48 hours of the scheduled appointment time. If you fail to cancel or reschedule your appointment within 48 hours, your credit card on file will be charged the full session fee. Emergency circumstances (i.e., hospitalization, illness, accident, a death in the family) will be addressed on an individual basis. Our therapists are also expected to be on time, and will offer appropriate remedy if late, such as making the time up or pro-rating the fee.

If you cancel or reschedule more than once, we may re-evaluate your needs, desires, and motivations for treatment at this time. THE CLINICIAN RESERVES THE RIGHT TO TERMINATE THE COUNSELING RELATIONSHIP IF MORE THAN 2 SESSIONS ARE MISSED WITHOUT PROPER NOTIFICATION (NO CALL/NO SHOW) OR CANCELED.

Therapy sessions are typically weekly for 50 – 60 minutes depending upon the nature of the presenting challenges. It is difficult to initially predict how many sessions will be needed. You and your therapist will collaboratively discuss from session to session what the next steps are and how often therapy sessions will occur.

Insurance Coverage & Cancellation Policies

We currently accept Aetna insurance, as we believe that access to mental health services is crucial to the well-being of our community.

If you will be using your insurance, you agree to verify your copay/out-of-pocket costs by calling the number on the back of your card.

By using insurance, your clinician is required to give a mental health disorder diagnosis that goes in your medical record. The clinical diagnosis is based on your current symptoms even though you may have been previously diagnosed. Your insurance company will know the times and dates of services provided. They may request further information to authorize additional services regarding treatment.

IMPORTANT: Some psychiatric diagnoses are not eligible for reimbursement. In the event of non-coverage or denial of payment, you will be responsible to pay for services provided. We reserve the right to seek payment of unpaid balances by collection agency or legal recourse after reasonable notice to the client.

Private Pay & Reimbursement

For individuals engaging with a therapist who doesn’t accept insurance, we prioritize your wellness within our practice. If you’re scheduled with a therapist who operates outside of your insurance network, you will be responsible for covering the out-of-pocket rate for your therapy session. We can provide you with the paperwork necessary so you can submit to your insurance company for possible reimbursement. Numerous clients have successfully secured partial or full reimbursement for their therapy sessions through their insurance’s out-of-network benefits.

As an out-of-network provider, we’ve also collaborated with Mentaya to offer assistance to our clients in reducing therapy costs. You can utilize the tool below to determine your eligibility and estimate the amount you might receive in reimbursement for your therapy sessions.

If you qualify, Mentaya will file claims and handle the insurance paperwork to make sure you get reimbursed. They charge a 5% fee per claim and have helped people get thousands of dollars back per year.

Note: Mentaya’s goal is to save you time and money. It’s completely optional, and Padre Island Counseling does not benefit in any way from your participation.

Good Faith Estimate Notice

Notice to clients and prospective clients: Under Section 2799B-6 of the Public Health Service Act, you have the right to receive a Good Faith Estimate for the total expected cost of any non-emergency healthcare services, including psychotherapy services. You can ask your healthcare provider, and any other provider you choose, for a Good Faith Estimate before you schedule a service, or at any time during treatment. If you receive a bill that is at least $400 more than your Good Faith Estimate, you can dispute the bill. Make sure to save a copy or picture of your Good Faith Estimate.
